Almost every trade show publishes who is exhibiting, but rarely in a form you can use. The list is spread over paginated directory pages, locked inside an interactive map, or printed on a PDF hall plan. Here are the ways to get it, from quickest to most thorough.

1. Check the show's website for an exhibitor directory

Most organisers publish an "Exhibitors" or "Exhibitor list" page, often a few months before the show. It's the most up-to-date source because exhibitors edit their own entries.

Look for company name, booth number, hall and a link to each profile. Profiles often add the company website, country and product categories, which are useful for filtering later.

2. Use the interactive floor plan

Many shows use a floor plan platform such as ExpoFP, Map Your Show, a2z, ExpoCAD or ExpoPlatform. The plan links every stand to an exhibitor, so it's the best source for booth numbers and halls.

The catch: you can click stands one by one, but you can't download the list. That's where extraction helps (see method 5).

3. Download the PDF hall plan

Organisers often publish PDF hall plans for print. They show every stand with its number and usually its size, which the web directory may not.

Copying from a PDF by hand is slow and error-prone, especially in dense halls. An AI floor plan reader can turn the PDF into a spreadsheet in minutes.

4. Ask the organiser

If you're exhibiting, the organiser may share an exhibitor list or a lead package. Sponsorship packages sometimes include attendee or exhibitor data. It's worth asking, but it's rarely available to visitors.

If you do get a spreadsheet, PDF or Word file, it can be uploaded to an extraction tool as it is: the companies, stands and halls are read from it and matched to what you already have.

5. Extract it automatically

Tools like ExhibitionBase read the exhibitor directory, the interactive floor plan or the PDF plan for you and return a clean list with company, booth, hall and website. You review it, save it and export it to Excel.

It's the fastest way to get the complete list, and running it again closer to the show picks up late additions.

  • Paste the exhibitor directory or floor plan link, or upload the PDF, spreadsheet or screenshot
  • Review the extracted companies and booths
  • Save them to the show and export to CSV for Excel or Google Sheets

What to do with the list
